This is basic guide to profile building, running data queries (eg data exports, email sending), and importing supporter data in Engaging Networks. The video covers profiles and data queries, and there is further written guidance on building the most common types of profiles, along with written instructions on how to import data.

Profiles
To create a profile in EN, go to Data & Reports -> Profiles. You can duplicate an existing profile, or create a new one.
Once you have created your profile, do not forget to run it! And do not forget to rerun it before you use it! You do this using the black circular arrow next to your profile in the list on the main manage profiles page. For profiles you will use frequently, you can set them to run nightly using the black and blue cirular arrow.

Select a profile type from the accordion list to see how to create it.
To create a profile of people who have taken a specific action (data capture, petition, email to target):
- Go to 'Data and Reports -> Profiles -> Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes if desired. These are only seen when opening the profile.
- Under 'Filters' use the drop down menu to select either 'data capture activity' for petitions or 'email to target' for ETT actions.
- In the line 'Find supporters whose activity count is' change the drop down option to 'greater than' '0'.
- In the next line 'In these pages' remove the option of 'Any Page', and click to reveal a drop down list or type the name of the action page(s).
- On the final line set the 'Date Range' as appropriate. If you want all people who have taken an action, set it to 'since' and then a date prior to the launch of the campaign. Click 'Apply' to save the date.
- Click on 'Save and Close'.
- Find the profile that has been created in the profiles list, it should be at the top of the list. Click the black arrow to run it.
- For profiles which will be used fairly regularly, the blue and black arrow can be used after initially running the profile to set it to automatically run every evening.
To create a profile of people who have not taken a specific action (data capture, petition or ETT):
- Follow steps 1 through 3 above.
- In the line 'Find supporters whose activity count is' change the drop down option to 'equal to' '0'.
- In the next line 'In these pages' remove the auto generated option for 'Any Page', and click to reveal a drop down list or type the name of the action page(s) you want.
- On the final line set the 'Date Range' as appropriate. If you want all people who have taken an action, set it to 'since' and then a date prior to the launch of the campaign. Click 'Apply' to save the date.
- Click on save and close.
- Find the profile that has been created in the profiles list, it should be at the top of the list. Click the black arrow to run it.
- For profiles which will be used fairly regularly, the blue and black arrow can be used after initially running the profile to set it to automatically run every evening.
To create a profile from data imported from another source such as Sales Force or Care 2 etc take the following steps.
- Click on 'Data and Reports / Profiles / Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes if desired. These are only seen when opening the profile.
- Under 'Filters' use the drop down menu to select 'Constituent Data'.
- In the line 'Find supporters whose' change the drop down option to select 'Empty Field'
- In the next line change the drop down to select 'Equals'
- Enter the Empty Field name from the data file into the blank field.
- Select 'Case Insensitive' from the final drop drop down list
- Click on save and close.
- Find the profile that has been created in the profiles list, it should be at the top of the list. Click the black arrow to run it.
To create a profile based on a specific country or group of countries follow the proceeding steps.
- Click on 'Data and Reports / Profiles / Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes if desired. These are only seen when opening the profile.
- Under 'Filters' use the drop down menu to select 'Constituent Data'.
- In the line 'Find supporters whose' change the drop down option to select 'Country'
- In the next line change the drop down to select 'Equals'
- Enter the relevant ISO country codes separated with a tilde (~) A list of country codes can be found on the ISO.org website.
- Select 'Case Insensitive' from the final drop drop down list
- Click on save and close.
- Find the profile that has been created in the profiles list, it should be at the top of the list. Click the black arrow to run it.
To segment your supporters based on their donation history, you need to use the Donor Type field. To use this, you need to select a filter type of Constituent Data in profiles or Supporter Data in the query builder.
Please note: records will only have a Donor Type value either when the supporter has donated, or when they have updated their record after creating it. Therefore, supporters who have not donated will not necessarily have a value. This needs to be considered when trying to segment non-donors.
Format and explanation
The values used in the Donor Type field are based upon whether the supporter has made single and/or recurring gifts, when they made their gift, and the status of their recurring gift. The capitalisation of the value matters. Please ensure you use the values as they are written.
Non-donors
Where a supporter has not given either a single or regular gift, they will either have the exact value Non Donor, or no value at all.
Single gifts
There are three values for the single gifts:
- Last single donation made within the last 365 days: Active Single
- Last single donation made more than 365 days ago: Lapsed Single
Regular gifts
There are four values for regular gifts:
- Where the supporter has 1 or more recurring donations*: Active Regular
- Where a supporter has 1 or more cancelled recurring donations (and no active)**: Cancelled Regular
- Where a supporter has an active recurring donation, but payment has been missed**: Lapsed Regular
*An active instruction (DD, CC) or where a direct regular donation (PP) has been made within 35 days.
**After three missed payments (ie three months for monthly donors), the record will switched from Lapsed Regular to Cancelled Regular.
Values
With the exception of for non-donors, the single status is always provided. A regular donor status is not always provided. The single status value is provided first, and, where a regular gift status is provided, it is separated by a n-dash (-) with a space on either side. As such, the following are all possible values:
- Non Donor
- Active Single
- Lapsed Single
- Active Regular
- Lapsed Regular
- Cancelled Regular
- Active Single - Active Regular
- Active Single - Lapsed Regular
- Active Single - Cancelled Regular
- Lapsed Single - Active Regular
- Lapsed Single - Lapsed Regular
- Lapsed Single - Cancelled Regular
Because of all the possible variants, it is recommended that you set up profiles to find Donor Types containing a value, rather than exactly matching. Remember: to apply a filter with multiple values, use a tilde (~) to separate each.
Finding single donors
To find people whose last single gift was:
- At any point in time: set the profile to Donor Type contains Active Single~Lapsed Single
- Within the last year: set the profile to Donor Type contains Active Single
- More than a year ago: set the profile to Donor Type contains Lapsed Single
Finding regular donors
To find people who have had a regular gift at any point in time, regardless of it's status:
- Set the profile to Donor Type contains Active Regular~Lapsed Regular~Cancelled Regular
To find people whose regular gift is:
- Active: set the profile to Donor Type contains Active Regular
- Lapsed: set the profile to Donor Type contains Lapsed Regular
- Cancelled: set the profile to Donor Type contains Cancelled Regular
Finding non-donors:
Since the value can sometimes be empty and it is not possible to identify an empty value in Engaging Networks, positively identify all the other donor types and then filter or exclude them as appropriate.

To create a segment about gift aid status:
- Go to 'Data and Reports -> Profiles -> Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes to help you and other colleagues understand what the profile is about and what is or isn't included. These are only seen when opening the profile.
- Under 'Filters' use the drop-down menu to select either 'constituent data'
- In the first line that says "find supporters who" select "SF_GIFTAID_STATUS" from the drop-down menu
- In the next line change the drop-down to select 'Equals'
- In the free-form text field enter the correct value you require from the list below exactly as it is written. Separate multiple values using the Tilda (~)
- ALREADY HAS GIFT AID
- DO NOT ASK FOR GIFT AID
- DOES NOT WANT TO GIFT AID
- ASK FOR GIFT AID
To create a segment about gift aid status:
- Go to 'Data and Reports -> Profiles -> Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes to help you and other colleagues understand what the profile is about and what is or isn't included. These are only seen when opening the profile.
- Under 'Filters' use the drop-down menu to select either 'constituent data'
- In the first line that says "find supporters who" select "exclude from lottery" or "exclude from raffle" as appropriate from the drop-down menu
- In the next line change the drop-down to select 'Equals'
- In the free-form text field enter the value "Y"
To create a segment about Donation Ask Preferences:
- Go to 'Data and Reports -> Profiles -> Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes to help you and other colleagues understand what the profile is about and what is or isn't included. These are only seen when opening the profile.
- Under 'Filters' use the drop-down menu to select 'constituent data'
- In the first line that says "find supporters who" select "Donation Ask Prefs" from the drop-down menu
- In the next line change the drop-down to select 'Equals'
- In the free-form text field enter one of the following values and separate multiple values with a Tilda (~) and no spaces:
- No Direct Donation Ask
- No Regular Giving Ask
- No Regular Giving Upgrade Ask
- No Sales Ask
Legacy Tracking = Prospect
To create a segment about legacy status:
- Go to 'Data and Reports -> Profiles -> Create New Profile'
- Give the profile a unique name that will be easy to identify among others. Add notes to help you and other colleagues understand what the profile is about and what is or isn't included. These are only seen when opening the profile.
- Under 'Filters' use the drop-down menu to select either 'constituent data'
- In the first line that says "find supporters who" select "Legacy Tracking" from the drop-down menu
- In the next line change the drop-down to select 'Equals'
- In the free-form text field enter the correct value you require from the list below exactly as it is written. Separate multiple values using the Tilda (~)
- ALREADY HAS GIFT AID
- DO NOT ASK FOR GIFT AID
- DOES NOT WANT TO GIFT AID
- ASK FOR GIFT AID
Importing data in order to segment
To import data into Engaging Networks from other sources such as donors from Salesforce, offline petition signatures, batch changing supporter information etc use the following steps.
These steps will use Empty Field as an example to identify a specific group (eg a list of supporters to be excluded from an email) for use over a short period of time. NB: Empty Field might be overwritten by someone else doing an import, so this shouldn't be used as a long-term identifier.
- To import donation or other specific supporter data group exports from Sales Force or another data source, save the exported data as an excel file and as csv comma delimited file.
- The excel file should contain one column listing the supporter email addresses only. The first row should be kept for titles: Email Address in A1. Additional columns will depend on the data being imported. For this example the title Empty Field could be put in B1. In cell B2 enter a unique name related to the what the data is. e.g. RaffleAug20Exclusions
- Then fill down to repeat for all the email address rows.
- Save as comma delimited .csv
- Go to Engaging Networks. 'Data and Reports/Import'
- Click on the 'Select File' button.
- Choose the excel.csv file with required data, select 'Add new records and update existing supporters'.
- Leave the two tick boxes unselected and click on 'Map Data' button.
- Review import information and click on 'Import' button
- Note the number of contacts being imported, it should match the number of contacts in the file.
- The data will take a minuet or two to import the data. Click on the 'Refresh' button in the top left hand side. This is NOT the same as browser refresh.
- When it's done the name of the excel file will be seen at the top of the list with the number of imported contacts. Check the number is as expected.
- Check the import is successful with the empty field name by going to 'Data and Reports / Export / New Query'
- In the query builder, in the blue 'Build your universe' parameter select the person icon and put empty field in the search field. Click 'Add' button
- In the Supporter Data popup window make Empty Field = then enter the name of the empty field given in the data file. Untick 'Match Case'. Click 'Add Filter' button.
- Preview the query. It should return the number of contacts imported or very close to. If there were duplications those will be omitted.
- Close the query
Offline Petition Signatures
Follow the steps above swapping the title Empty Field for the name of the petition the signatures should be add to. Enter "P" noting the capitalisation of the letter in cell B2.
At the processing records section tick the box next to the "Once imported, tag these supporters as having participated in a page?: Yes" and select the appropriate page from the dropdown list.
Bulk Import Opt In Data
Follow the steps above swapping the title Empty Field for Opt In to UKGDPR (UK would be swapped for the country the opt in is for e.g ES, PL CZ etc). Enter "Y" noting the capitalisation of the letter in cell B2.
If it is unknown if some of the imported supporter data already exists on the Engaging Networks database it would be undesirable to Opt In a supporter who had for example unsubscribed after the external data was collected. In such a case at the Processing Records section select "Only create new supporters and ignore updates to existing supporters"
Other Import Types
Other import types could include any of the titles listed under the constituency data field found in the Engaging Networks profiles.
Exporting Data
Build the query builder with the information selections required. For example, to look at data for everyone who took action on a petition page, add that page or pages to the Universe section of the query builder. Then select Use Query.
On the export window select Transactional Data, the type of file you want to export, usually, CSV is selected for an Excel type data file. Uncheck Customer Reference Names.
Select Next and then Export. On the confirmation screen click on Go To Job Monitor.
The download will be at the top of the list. Use the orange refresh button, not the browser refresh to progress through jobs that take longer to complete. This may take a few minutes. Download the file by clicking on the cloud icon under the Results column.
